The challenge — Excel was killing the operation
In 2024, Multitech Cloud Latam was growing fast. As the B2B technology rental arm of Dinámica Tecnológica (a 17-year-old Colombian SMB tech services group), Multitech was acquiring 20-30 new clients per month, signing fresh service contracts, and managing a growing portfolio of leased equipment, cloud services, and managed IT helpdesk subscriptions.
The operational tooling? Spreadsheets. Email chains. WhatsApp groups. A patchwork of QuickBooks-equivalent (Siigo), a CRM that was barely used, and individual Excel files per account manager.
The math wasn't working:
- 15-20 hours per week consolidating data into a single MRR view
- Late invoices every cycle because the team had to manually generate each one
- Customers waited 3-5 business days to get answers to billing questions
- Lost revenue from forgotten contract renewals — the spreadsheet didn't alert anyone when something was about to expire
- No real-time visibility into accounts receivable
The decision — Build or buy?
Multitech evaluated the obvious options: Chargebee, Stripe Billing, Recurly. All three had clear shortcomings for their context:
- Chargebee: $299/month and you still need engineering to deploy. No Spanish customer portal. No Siigo integration (a must for Colombia's electronic invoicing).
- Stripe Billing: API-first. Required a dedicated engineer for 6+ weeks. No customer portal, no helpdesk, no e-signature.
- Recurly: US-centric. Subscription consumer focused, not B2B contracts.
The team made a strategic decision: they would invest in building the platform internally, knowing that if it worked for their own complex B2B operations, it would work for anyone. RentingOS was born.
The implementation — From spreadsheets to platform in 90 days
RentingOS was built on a pragmatic stack: Node.js + Express + Prisma + PostgreSQL, hosted on Azure. The architecture prioritized:
- Multitenant from day one — to serve Multitech AND its sister company Dinámica AND eventually external customers
- Native integration with Siigo (Colombia's leading accounting + electronic invoicing platform)
- Spanish-first UI with English/Portuguese expansion baked into the architecture
- Real-time dashboards showing MRR, ARR, churn, cohort retention
- Built-in helpdesk with ITIL escalation (L1→L2→L3) tied to each customer and asset
The results — Year 1 with RentingOS in production
The quote that matters
What this means for you
If you're running a service-based SMB in the US that bills on a recurring basis — HVAC, landscaping, pool maintenance, cleaning, pest control, equipment rental — you face the same operational reality Multitech faced in 2024:
- You're spending too much time on billing and not enough on customers
- You can't tell your CFO what your MRR is right now
- Your customers wait days to get answers
- You're losing money to contracts that quietly expire
- You're 4-6 SaaS tools deep and they don't talk to each other
The same platform Multitech uses every day is now available to you, with one important upgrade for the US market: built-in Stripe integration, QuickBooks Online sync, and bilingual English/Spanish support from a team that operates the platform in production at scale.
